(Be sure to determine the formal designation (Ms./Mrs./Mr.) of the person you are contacting. If you’re not sure, call the organization to confirm.)

First paragraph:

The first paragraph of your letter should refer information on why you are writing. For instance: I am writing to apply for the role of (Probation Officer job title or job reference number) as advertised on As you can see from my attached resume, I have been successful at [name of current employer] and am now looking to build on these achievements in a [more senior role/bigger company].

Middle paragraphs:

Here is your chance to tell why you are interested in the employer or type of work the employer does (Simply stating that you are interested does not tell why, and can sound like a form letter). Show that you know enough about the employer or position to relate your background to the employer or position. Write about specific qualifications which make you a good fit for the employer’s needs. (Focus on what you can do for the employer, not what the employer can do for you.) This is an opportunity to explain in more detail relevant items in your resume. Refer to the fact that your resume is enclosed.

Final paragraph:

If you have attached your resume, mention it in this paragraph. Then conclude your cover letter by thanking the employer for considering you for the position, e.g. Thank you for your time and consideration. I look forward to meeting with you to discuss my application further.
